Car-Wash Operations Platform
A car wash that runs on its own software.
Rocket Wash swapped a paid car-wash CRM for a platform of its own — membership recovery, staff scheduling, incident reports, camera evidence, chemical costing, and an assistant that reads the numbers every morning.
The challenge
An express wash pays every month for a CRM that handles card recovery, membership signup and marketing — and the actual operating side of the business still lives on paper, in group texts and in one manager’s head. Scheduling. Incidents. Chemical drums. What a wash actually costs to deliver.
Cancelling the subscription was the smaller half of the point. The bigger half was getting the wash’s own operating data into one place its owner controls.
What we built
One platform for the whole operation, with the wash’s equipment and cameras feeding it directly:
- A live pull from the wash controls system — customers, memberships, billing history and transactions — plus a payment-risk engine that recomputes the at-risk-card list, so a lapsing member gets caught before the membership dies
- Staff scheduling for the full roster: published weeks, open shifts staff can claim, swaps, availability, time off, and an overtime flag driven off each person’s own weekly cap
- Role-gated by design — an associate sees their own shifts and their own paperwork, a manager sees the team — with a phone view built for the people who never sit at a desk
- Push notifications as the primary staff channel, proven end to end on real devices
- Incident reports that pull the matching camera clip in as evidence, with photos, claim stage and repair cost tracked to close
- Chemical inventory built from the actual supplier invoices and measured by the tank rather than by the car — so the cost of a wash is a number instead of an argument
- Weather wired in from the local station, because a wash’s day is decided by the sky: a rain switch, rain alerts, and an hourly demand profile that informs staffing
- Rocky, the in-house assistant — a deterministic rules engine over real queries, not a language model. It can’t invent a figure, and every line it prints traces back to a query
- Email and social groundwork with the compliance work done first — consent, unsubscribe and sender identity handled before anything could be sent
Where it stands
The wash runs on it daily: the controls sync, membership and card recovery, scheduling, incidents, inventory and reporting are all live. Campaign sending is built and deployed but no blast has gone out yet, and text messaging is waiting on carrier registration. Social posts are drafted for a human to approve rather than published automatically — a deliberate choice, not a missing feature.
The result
The wash owns its customer list, its membership history, its schedule, its incident record and its cost per wash — in one database, on its own terms, with no vendor standing between the owner and his own numbers. It’s the same pattern behind every business dashboard and back-office platform we build.

The platform holds real customers and real employees, so these screens run the actual scheduling module against a sample roster — the real records are never shown publicly.
